This notice explains how the Triple Stone Learning website, program enquiry forms and dedicated school-program registration pages collect, use and protect information provided by families.
Information collected
When a parent or guardian submits a program enquiry, we may collect the parent or guardian name, student grade, program interest, email address, optional phone number, optional student first name, contact preference, preferred timing, referral source and learning information entered in the message field.
For a dedicated school-program registration, such as the Ashwood Glen after-school program, we may also collect the parent or guardian contact details, each student's name, age, grade, prior coding experience, laptop requirement, program acknowledgements and consents, registration or waitlist status, payment status, transaction references and administrative notes needed to deliver the program.
How the information is used
Information is used to respond to enquiries, assess program fit, register students, manage class capacity and waitlists, process and reconcile payments, send transactional program communications, support dismissal and pickup administration, provide requested equipment, maintain required business records and operate the program safely and effectively.
Service providers
Program enquiry forms may be processed through Netlify Forms. Dedicated school-program registration pages use Netlify to serve the website and run server-side functions, Supabase to store registration and program-administration data, and Stripe to process card payments. Transactional email may be delivered through Resend when configured.
Payment card details are entered into Stripe's hosted checkout. Triple Stone Learning does not intentionally store full payment card numbers or card security codes in its program registration database.
Campaign and website activity
The website may record campaign parameters such as referral source, campaign name, medium and landing page when present. Dedicated school-program pages may also record limited first-party operational events such as registration started, checkout started, waitlist joined and payment completed, together with the page path or program group when applicable. These events are used to understand whether the registration flow is working and do not intentionally contain payment-card information.
Google Analytics and third-party advertising pixels are not enabled in the current production configuration. If additional analytics or advertising tools are introduced, this notice will be updated to describe their use.
School-program registration, waitlists and communications
Registration data may be viewed by authorized Triple Stone Learning or Ultimate Coders Burlington personnel who need it to administer the program. School-facing summaries should be limited to information reasonably needed for program delivery. Joining a waitlist does not guarantee a seat. If a seat becomes available, the parent or guardian may receive a registration invitation.
Optional photo or media consent is recorded separately from required registration acknowledgements. Declining optional photo or media consent does not prevent registration.
Retention and access
We retain enquiry, registration, payment-status and program-administration information only for as long as reasonably necessary to deliver the program, support an ongoing customer relationship, resolve payment or registration issues, maintain required business records and meet applicable legal obligations. Access is limited to authorized personnel and service providers that need the information for those purposes.
Your choices
To request access to, correction of or deletion of personal information submitted through an enquiry or registration, email ucburlington@ultimatecoders.ca. Include the parent or guardian name used in the original request and the action requested. Some records may need to be retained where required for payment, accounting, dispute-resolution or legal purposes.
Children's information
Enquiry and registration forms are intended to be completed by a parent or guardian. Students should not independently submit personal information through these forms.
Security
We use technical and administrative controls intended to restrict access to registration data, including server-side credentials, database access controls and protected administration tools. No internet service can guarantee absolute security; if you believe information has been submitted in error or may be at risk, contact us promptly.
